HR Officer

We are looking for a HR Officer to join our small HR team, reporting to the HR Manager and supervising one person.

Recruitment and retention are key elements of this role and you will play a crucial part in ensuring that we attract talented people to our business and provide an employee experience that makes GJE a great place to work.  You will also be responsible for day-to-day HR matters, identifying and changing processes and routines to ensure that we offer a great service to our “clients”. 

General HR Responsibilities


  • For both the London and Munich office, managing recruitment campaigns primarily for graduates and experienced fee earners
  • Developing job descriptions and person specifications, preparing advertisements, sourcing candidates e.g. through LinkedIn, liaising with recruitment consultants, shortlisting and participating in the interviewing and selection of candidates, ensuring the efficient administration and documentation of the recruitment process, generating contracts and keeping in touch with candidates between their acceptance of an offer and starting work with us
  • Managing our employer branding, including updating the careers section of our website, writing articles for directories and maintaining our recruitment collateral

HR matters

  • Retention: including organising wellbeing weeks, coordinating support staff reps meetings
  • Training: updating and arranging induction programmes, running HR induction sessions, sourcing appropriate internal and external training courses and training providers, maintaining the patent training handbook and allocating study leave to fee earners in line with the policy
  • Formal and informal disciplinary and performance matters: providing advice, drafting correspondence, conducting investigations and attending formal meetings
  • Policies: updating and developing new policies and procedures to improve current policies and procedures/replace informal practice
  • HR projects: e.g. developing the people pages of our new intranet
  • HRIS: developing workflows on Cascade to improve efficiency
  • Payroll: ensuring the input to and output from the payroll bureaus (for London and Germany) are accurate
  • Managing absence: monitoring absence, recommending appropriate actions, holding informal and formal meetings with staff members who reach absence trigger points
  • Starters and leavers: in addition to induction responsibilities, conducting new starter catch-ups.  Carrying out exit interviews and highlighting key matters to the HR Manager, along with any recommendations for action.  Administering the training cost repayment policy for departing fee earners
  • Employees: responding to queries and providing advice and support to employees
  • Partners and managers: responding to queries and providing advice on HR matters
  • Teamwork: involvement in team projects/tasks, including annual salary reviews, the discretionary bonus process and the appraisal process

Staff supervision

  • Supervising one member of staff, to ensure the following are completed in an efficient and timely manner
  • Cascade is accurate and up-to-date and workflow tasks dealt with
  • Contracts, letters and emails are generated and accurate
  • Queries are responded to
  • HR processes are followed in full, including:
  • Maternity, paternity and other family leave related meetings are arranged and appropriate resulting actions taken, information given is up-to-date and complete
  • The process for managing flexible working requests for non-managerial support staff is followed
  • Exam results are uploaded to Cascade and the fee earners complete the corresponding workflows
  • Starters and leavers workflows are completed

Person specification

  • Ideally CIPD qualified
  • Graduate calibre
  • A team player, willing to roll their sleeves up and complete whatever tasks are necessary to ensure the team delivers a good service
  • General HR experience, including:
  • Handling personal data and other confidential information
  • Recruitment and interviewing
  • Writing/updating policies and processes
  • HRIS experience (ideally Cascade)
  • HR administration
  • Up-to-date employment law knowledge
  • Excellent organisation skills with the ability to prioritise work effectively
  • Ability to analyse situations, challenge current practices and suggest solutions/changes as appropriate
  • Completer finisher
  • Strong communication skills both written and verbal
  • IT literate including excel
