Apprentice Administration Assistant - Health

Roles and responsibilities

1. To store and retrieve information, maintaining database records in line with contractual requirements.

2. To assist with regular monitoring, evaluation and reporting to commissioners.

3. To assist with the promotion of health projects, including mail outs and public facing distribution of leaflets.

4. To assist with the organisation and delivery of project events.

5. To monitor social media presence of health projects.

6. To assist with converting expressions of interest into full project sign ups.

7. To file paperwork e.g. registration paperwork, terms & conditions, consent forms etc.

8. To assist with compiling delivery resources.

9. To support team meetings with timely production of minutes.

10. To receive and respond promptly to incoming email and telephone enquiries concerning AITC projects.

11. To liaise with staff, partners and participants to maintain first class working relationships.

12. To support the team to maintain accurate, timely and legible records.

13. To answer and deal with queries, both face to face and via the telephone, take messages and pass them on to the relevant member of staff in an appropriate and timely manner.

14. To maintain filing systems in line with organisations policies and procedures.

15. To assist with the ordering and maintenance of stock supplies (specific to role as appropriate).

16. To handle incoming and outgoing mail for Health team.

17. To collate information for reports.

18. To meet and greet visitors as required.

19. To attend training courses and continuing professional development sessions when required.

20. To attend and take part in team meetings & regular reviews with line manager etc.

21. To complete all educational and training as required.

22. To sign a learning contract with the training provider and adhere to the agreement.

23. To be a flexible and supportive member of the team.

24. To act as an Ambassador for Albion in the Community and Brighton & Hove Albion FC at all times.

25. To cross promote AITC programmes that will assist with business development and secure new contracts.

26. Any other duties as required within reason to meet the needs of the position.

  • To support Brighton & Hove Albion FC and AITC in their aims and objectives at all times.
  • To ensure compliance with all relevant club policies, including health and safety policies.
  • To ensure compliance with all relevant legal, regulatory, ethical and social requirements.
  • To keep confidential any information gained regarding the charity, club and its personnel.
  • To represent Brighton & Hove Albion Football Club and AITC in a professional manner.
  • To maintain a flexible approach to work at all times.
  • To undertake other duties and responsibilities as required from time to time.

Qualifications & Experience

Essential

  • GCSE level English/Mathematics
  • Competent level of numeracy and literacy
  • Computer literate (Microsoft Office/Word/Excel/Outlook/PowerPoint)
  • Strong organisational and administrative skills
  • Good planning and prioritising skills
  • Warm, friendly, helpful and cheerful persona, a “can do” attitude
  • Confident in telephone and face to face communications
  • Pro-active and adaptable
  • Flexible approach to working hours
  • Ability to work unsupervised
  • Willingness to learn

Desirable

  • Previous experience of working in a person-centred environment
  • A full, current valid UK car driving license
  • An interest in football
