What’s the Job?

To provide administrative support to the Chief Executive Officer and the Director of People, on a range of key business projects and initiatives.
 

What will I do?

  • Manage the CEO and DOP’s schedule, anticipating requirements and maintaining electronic diaries
  • Manage travel and accommodation arrangements, meeting itinerary and responding to general requests
  • Coordinate with the executive assistant team key meetings and travel for the management committee (mancom)
  • Complete expense reports for CEO and DOP
  • Prepare reports, presentations, board packs, management information and correspondence on a regular basis for the CEO
  • Liaise with Executive assistant’s at Coty to coordinate requests for information, business review meetings, travel of Coty executives to ghd and vs versa.
  • Build strong relationships with internal and external stakeholders
  • Prioritise and organise business and personal appointments, visits, meetings, and complex international travel arrangements including visa applications, to ensure the best use of time
  • Set up key internal and external meetings; prepare and co-ordinate arrangements and papers; take minutes where required and follow up action points where appropriate; this includes private and confidential meetings which must be dealt with in confidence
  • Work with the executive assistants across all sites to coordinate employee events, both social and core communication meetings (town halls)
  • Liaise with key report lines to ensure flow of key information to and from the CEO
  • Provide administrative support, managing holiday requests and ad hoc duties
  • Periodic travel to all sites and events as required
  • Flexibility to adapt to working needs around CEO’s availability and global travel plans

 

What skills and qualities will I need?

  • Considerable proven experience working as an Executive Assistant to Senior Managers
  • Possess clear ability to work with pace, accuracy, discretion and professionalism.
  • Essential to have a high level of computer literacy and be extremely proficient with all MS applications including Excel, Word
  • Excellent working knowledge of PowerPoint
  • Excellent oral and written communication skills
  • Flexible and adaptable to commit fully to this highly demanding role, working late hours if needed
  • Proven diary management with a high level of attention to detail
  • A confident, assertive and resilient personality with a positive and proactive approach
  • Excellent interpersonal skills with the ability to build strong working relationships
  • Proven organisation skills, with the ability to anticipate requirements and with the aptitude to prioritise own workload
  • The ability to work calmly and effectively in a fast paced environment without supervision to meet tight deadlines under pressure
  • Interest and understanding of social media
  • Passion for the brand
