Introduction

Portals makes security paper for use in banknotes and security documents, such as passports, vehicle registration documents and birth and marriage certificates focused on security paper innovation, with the Portals name being synonymous with pioneering innovations in the security paper industry. We are committed to protecting the privacy of your personal data and we summarize here our policies regarding the collection, use and transfer of your personal data, the security measures we employ to protect such data and your rights and choices with regard to access or use of such data.

 

The kind of information we hold about you

We collect a variety of personal data in order to carry out our application and recruitment process and security vetting processes, either directly from candidates or sometimes from an employment agency or background check provider. This data is processed on the lawful basis of legitimate interest and is stored securely and confidentially, with restricted access. It typically includes employment history, degree(s) and other qualifications, languages and other skills as well as contact information. It may also include, age, nationality and gender, compensation details, a record of our contact history with you, comments, views or references from third parties and information relating to criminal conviction. Please keep us informed if your personal information changes during your application process and future working relationship with us. 

 

We advise you not to provide information which may be deemed sensitive on your CV as we will retain any documents that you have provided. In addition to information provided by you, we may gather information from third parties, including former employers, credit reference agencies or other background check agencies, LinkedIn, Google, Company websites, press and periodicals and other publicly available sources.

Use and processing of personal data

 

By choosing to provide Portals with your personal information you indicate your willingness to share and have your information stored by Portals and to be considered, when appropriate, for one of Portals’ roles.

 

Your personal information may also be used anonymously and in the aggregate in order to put together recruitment and employment statistics and equal opportunities monitoring. Used in this matter, your personal information becomes non-identifying.

To the extent that we disclose personal data to third parties, we will request that they properly protect the security and confidentiality of such information and otherwise process such data in accordance with applicable law.

 

 How long do we keep your data for?

We will keep hold your personal data through your application used for recruitment for 6 months after which it will be destroyed if it is no longer required for the purpose(s) for which it was obtained. If you are appointed we will hold the data under our legal obligation, which is up to six months after your termination of employment.

 

Your rights

You have the right to ask us to supply to you the information we hold about you; this is known as a Data Subject Access Request (SAR).  You have the right to ask us to rectify the data we hold on you in the event that it is inaccurate or incomplete.  You have the right to ask us to erase your data if there is no lawful purpose for us to keep it.  When asked to remove a record from our system, Portals will retain minimal information to ensure we do not contact you or collect such information again. If you believe there has been a breach in the management of the data held on you, if you wish us to erase any data on you or would prefer that we do not contact you for any reason, please contact recruitment@portalspaper.com.

 

Changes to the Privacy Policy

Portals reserves the right to modify or amend the Privacy Policy at any time and for any reason, as permitted by applicable law. If there are material changes to the Privacy Policy, we will post those changes on our website.
